Who we are
PillarGuard is a workplace environmental, health and safety (EHS) platform operated by Four Pillars Alliance LLC ("we", "us"). Companies we work with ("client companies") use PillarGuard to manage safety records, and their employees and contractors use it in the field. This policy explains what information PillarGuard collects and how it is used.
Information we collect
- Account information — name, work email, phone number, job title, role and company, provided by you or your employer.
- Safety records — incidents, inspections, observations, job safety analyses, lockout/tagout permits, training records, equipment and vehicle records, photos and signatures entered in the platform.
- Mobile number and text message consent — if you choose to receive text messages, your mobile number and a record of your consent (date, time and the wording you agreed to).
- Device and usage information — basic technical data needed to run the service securely, such as sign-in times and, if you turn them on, push notification tokens for your device.
How we use information
We use information only to provide and secure the PillarGuard service for you and your employer: showing and storing safety records, assigning and tracking corrective actions, sending the notifications you and your company have set up (email, push notifications and, if you opt in, text messages), and supporting and improving the service. We do not sell personal information.
AI-assisted features
Some PillarGuard features can read a document or photo you upload — such as a safety data sheet, a certificate of insurance, a lab report or a photo taken for a safety observation — and suggest the values for the record. These features are off unless Four Pillars Alliance turns them on for your company. Only the document or text you choose is sent, nothing is sent until you press the button, and nothing is saved until a person has checked it. We keep a log of each use (who, when, which record, and the values suggested) for three years.
S.A.M., PillarGuard's help chat, answers questions about using PillarGuard from PillarGuard's own guide. It does not see your company's records. The question you type is sent to the AI provider to answer it. We keep the question and answer for 12 months, readable only by Four Pillars Alliance, to improve the guide, and then delete them; the log of each use (who, when and cost) is kept for three years like other AI features. Do not type personal or sensitive information into S.A.M.
Text messages (SMS)
Text messages are optional. You opt in yourself in PillarGuard under Profile → Phone Notifications → Text messages. Messages are safety and compliance notifications only (for example corrective actions, lockout/tagout alerts, maintenance and training due dates) — never marketing. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. See the SMS Terms in our Terms & Conditions.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
Who can see your information
Your company's PillarGuard administrators and managers can see the records in their company's account, according to the roles your company sets. Four Pillars Alliance staff can access accounts to provide support and consulting services to your company. We use trusted service providers to host the platform and deliver email and push notifications; they process information only on our behalf. Where your company has turned on AI-assisted features, the document or text you choose to have read is sent to our AI provider, Anthropic, PBC, to return suggested values, which you check before anything is saved. Anthropic processes it only on our behalf, does not use it to train its models, and deletes it within 30 days. All of the above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Security and retention
Information is stored with access controls that keep each company's data separate, and is transmitted over encrypted connections. Safety records are kept for as long as your company's account is active or as required for regulatory recordkeeping. You can turn off text messages and push notifications in your profile at any time.
Your choices
You can update your profile, turn notifications on or off, and opt out of text messages at any time. For requests about your information, contact your company's PillarGuard administrator or us at the address below.
